A sympathy card is the one message where you cannot solve anything, and that is exactly why people freeze in front of it. The instinct is to find words big enough for the loss. There are none. What actually helps is smaller and more specific than that.
Use the person’s name
“I am so sorry about your mother” lands differently to “I am so sorry for your loss”. If you knew them, say the name: “I keep thinking about Margaret.” Naming the person is the single change that moves a card from generic to genuine, and it costs nothing.
For a colleague you do not know well
Keep it short and do not perform closeness you do not have. “I was very sorry to hear about your father. Thinking of you, and please do not worry about anything here — we have it covered.” Two sentences is enough. The second one is the useful part, because it removes something from their list.
For a close friend
Say the specific thing you remember. “I keep thinking about the way your dad used to answer the phone.” Then offer something concrete rather than open-ended: “I am dropping food round Thursday, you do not have to answer the door.” “Let me know if you need anything” puts the work on the grieving person; naming a day and a thing does not.
When you did not know the person who died
Write about your friend instead. “I did not get to meet your brother, but I know what he meant to you and I am so sorry.” This is honest and avoids the hollow note of praising someone you never met.
Lines to leave out
“Everything happens for a reason.” “At least they are no longer suffering.” “I know exactly how you feel.” “Be strong.” Each one tries to reframe the loss as smaller than it is, and each one is more about the writer’s discomfort than the reader’s grief. If a sentence begins with “at least”, delete it.
