Most unanswered emails are not rejections. They were opened on a phone, mentally filed, and then buried by eleven more. The follow-up is not nagging — it is the second, more convenient chance for someone to do the thing they intended to do.
How long to wait
Three to five working days for most things. Two if there is a deadline attached. Same-day follow-ups read as anxious, and a fortnight is long enough that you are effectively starting over.
Reply to your own thread
Do not start a new email. Replying in the same thread carries the context, keeps the original message one scroll away, and moves the whole conversation back to the top of the inbox. A fresh email makes them reconstruct the story.
Stop writing “just bumping this”
It adds nothing and it slightly apologises for existing. So do “just checking in”, “circling back” and “per my last email” — the last of which reads as passive aggression regardless of intent. Add new information instead, even something small: a deadline, an update, a narrower question.
Make the ask smaller
If the first email asked for a decision, the follow-up should ask for something cheaper. “Is this still something you want to do this quarter — yes or no is fine.” A question answerable in one word gets answered far more often than one requiring thought.
For a client
“Following up on the proposal from last Tuesday. No rush if timings have shifted — just let me know if I should hold the September slot or release it.” The deadline is real and it does the work without pressure.
For a recruiter
“Checking in on the Senior Analyst role — I interviewed on the 14th. Happy to wait if the process is still running, but I have another conversation moving and wanted to be upfront.” Only say that if it is true.
How many times
Two follow-ups. After the third silence, send a short closing note: “I will assume this is not a priority right now — do reach out if that changes.” It preserves the relationship and, surprisingly often, produces the reply.
